Summary
RAE Engineering and Inspection Ltd. is an engineering company that specializes in total asset integrity management. Our company has been in business since 1972 with a strong client base. Our company provides a variety of engineering and inspection services for pressure equipment, above ground storage tanks, pipelines, operational difficulties, specifications, failure analysis, coatings and linings. Services are provided mainly to the oil and gas industry, utilities, lumber and others.
Position Description
This position is charged with a responsibility that has a lasting impact on the success of our organization – making a good impression. This person is involved in a broad range of responsibilities which include, but are not limited to, greeting and screening visitors, answering and referring telephone calls, scheduling appointments, providing office and administrative services.
Responsibilities:
- Greets all visitors politely and diligently and announces them to the appropriate contact.
- Answers the main switchboard and directs calls in a courteous, professional and friendly manner.
- Types forms, letters, reports and memos, as necessary.
- Administers and manages inbound/outbound mail including priority post, packages, courier services and other correspondence in an efficient and cost-effective manner.
- Arranges and books meetings in boardrooms.
- Coordinates the logistical aspects of company or departmental programs such as meetings, seminars, workshops, special projects, and events.
- Arranges travel bookings via approved providers, distributes tickets/information to staff, and posts incurred expenses to summary sheet.
- Co-ordinates the orientation process for new employees.
- Maintains the reception in a tidy and presentable manner.
- Maintains office supplies inventory.
- Organizes, maintains and coordinates office records and files in their proper location.
Requirements/Qualifications:
- Demonstrated ability to interact effectively with clients, visitors, and fellow team members, exhibiting tact and diplomacy.
- Recognized importance of prompt and courteous response to all calls.
- Cheerful, professional manner and presentation, both in person and on the phone.
- Extremely punctual and dependable.
- Ability to work with limited supervision; be self-motivated.
- Knowledge of supplies, equipment, and/or services ordering, as well as inventory control of these items.
- Strong knowledge of MS Office.
- Able to maintain filing systems.
- Strong knowledge of general office procedures.
- High school diploma.
- 2 years of direct work experience in a receptionist capacity.
