Administrative Assistant (Database)
RAE Engineering and Inspection Ltd. is an engineering company that specializes in Total Asset Integrity Management. Our company has been in business since 1972 with a strong client base. Our company provides a variety of engineering and inspection services for pressure vessels, above ground storage tanks, pipelines, operational difficulties, specifications, failure analysis, coatings and linings. Services are provided mainly to the oil and gas industry, utilities, lumber and others.
Position Description
This position provides assistance to Chief and Senior Inspectors. Vessel verification and updating on the company’s database forms is one of the incumbent’s main responsibilities. This position is also responsible for opening all new jobs.
Responsibilities:
- Opening new jobs in Job Tracker
- Setting up an Office Work Files
- Updating spreadsheets and schedules with job related data
- Tracking purchase orders, if supplied
- Updating RAE Equipment Management System (REMS) with pressure service vessel documentation and information
- Support to Chief and Senior Inspectors
- Assist with in-house audits
- Data capture of Non Conformance Reports and Follow Up Reports
- Prepare data reports from REMS database for inspectors and clients
Requirements/Qualifications:
- Demonstrated ability to interact effectively with fellow team members, exhibiting tact and diplomacy
- Self starter, good work ethic with a positive personality
- Excellent organizational skills and attention to detail
- Strong working knowledge of MS Office applications such as Word, Excel and Outlook
- Able to maintain filing systems
- Strong knowledge of general office procedures
- Knowledge of database programs an asset
- Diploma or certificate in administrative area would be an asset
- 3 to 5 years of experience in an administrative assistant role
